A hotel access control system is the combination of electronic door locks, guest and staff credentials (keycards, mobile keys, passcodes, or fingerprints), encoders at the front desk, and management software that decides who can open which door and when. It replaces mechanical keys and standalone magstripe locks with a single, auditable system.
When a guest presents a keycard, phone, or code, the lock reads the credential and checks it against the permissions stored on the lock itself — room number, valid dates, and access level. If it matches, the motor retracts the latch and the opening is recorded. Because the check happens on the lock, the door still works if Wi-Fi or power to the building goes down.
